Using a Zoom Room

In Person Class Screen Sharing:

Load and sign into your Zoom App (need to be in the app, not web page) on your laptop.

Click Share Screen on your laptop and enter the randomized Share Key displayed at the top-right of the Zoom Room display. If the key is not showing, you may have to touch or otherwise wake the display.

Remote &/ Hybrid Class Screen Sharing:

Note that you will want to mute your laptop's mic and speaker to prevent feedback. It is best to be signed into the Zoom app by signing in using SSO and entering virginiatech.zoom.us followed by your CAS sign-in info through your browser if requested.

Option 1:

1. Ensure the Zoom Room's display is on.

2. From your laptop, start your Zoom meeting as you normally would. (Join from a link, join by entering meeting-id, or click New Meeting [typically using your personal meeting room])

3. From the Zoom Room display, select Join Meeting and enter the Meeting I.D. you are using.

4. Accept the join request by clicking the Accept button that pops up on your laptop.

You are now successfully connected to the Zoom Room and can share your screen/content as you normally would (from your laptop) in a traditional Zoom meeting.


Option 2:

1. Ensure the Zoom Room's display is on.

2. From your laptop, start your Zoom meeting as you normally would. (Join from a link, join by entering meeting-id, or click New Meeting [typically using your personal meeting room]) 

3. Still from your laptop, click on Participants and Invite (either in the up carrot or at the bottom of the participant list)

4. Across the top of the Invite window, select the Zoom Rooms tab and type 518 into the type filter field and select VT-WHIT-518-zr . *1

5. From the Zoom Room display, accept the request by clicking the Accept button that pops up.
You are now successfully connected to the Zoom Room and can share your screen/content as you normally would (from your laptop) in a traditional Zoom meeting.


Notes:

You may also use the projector concurrently to project to the side wall by simply turning it on with the remote control. It will mirror what is displayed on the touch display.

*1 - If contacts and Zoom Room tabs are missing while attempting step #4 it is likely due to the user signing into Zoom from the webpage ( https://virginiatech.zoom.us ) instead of directly from the Zoom App (which still takes you to the same sign-in web page). If this issue applies to you, there are two suggested options.

a. Close out your Zoom Session and from the Zoom App, click sign-out at the top right. Then, sign-in at that same top-right location using SSO and virginiatech.zoom.us during the sign-in process. It may take a few seconds for the Zoom Room tab to appear. 

b. The other option is to know what the Meeting-ID of your Canvas (or link) Zoom meeting is and Join that meeting-id from the Zoom Room display. Due to the potential sign-in issue above, this may be the most consistent way to connect your Canvas Zoom meeting and the Zoom Room.

*2 - If your remote attendees and/or recording is not picking up audio it could be that the Meeting Owl was muted directly instead of using the Zoom Room display. (The bottom of the Owl will glow red when muted) To mute/unmute the owl directly, press the button directly above the glowing red mute indicator. *Note that the preferred operation is to make sure that the Mic and Speaker on your laptop are both muted. Then, control the audio mute by touching the microphone icon on the Zoom Room display. The audio speaker volume originates from the TV, while the microphone audio is picked up from the Owl.
