ISE Information Technology Equipment Loaner Policy

Purpose of the Policy
The Industrial and Systems Engineering (ISE) Department recognizes the need to provide temporary loans of IT equipment (computers, laptops, monitors, docks, dongles, and related equipment) to ISE faculty, staff, GRAs, and GTAs. This policy defines the intended use and limits of the department’s loaner pool of available IT equipment to provide equity and consistency among our users.
Policy
The ISE Department will provide a loan of IT equipment when it is available in the departmental pool for up to one semester (4.5 months). For computer loans in particular, up to a total of two computer loans at any given time can be provided for a faculty member’s research team of students. All IT loaners must be returned by the end of each semester for inventory and update purposes, and if the returned loaner is still within the loan period (e.g., if the loan was made midway through a semester), it will be re-issued to the user at the start of the next semester. In that situation, if a borrower would like to keep the loaner equipment over extended breaks (such as winter break or part of the summer break), prior approval must be obtained from the ISE IT Manager. When a borrower is a student, both the student and faculty advisor are expected to ensure the return of equipment in good condition and in working order. All IT equipment must be returned prior to the borrower’s exit from the department. Problems or issues with the working order or functionality of any loaner equipment should be reported as soon as possible to the ISE IT Manager. Use of all equipment is subject to current university and departmental acceptable use and related IT policies. Any exceptions to the one-semester duration or limit of two computer loaners to a faculty member’s research team should be submitted to the ISE IT Manager, who will make a decision based on considering the current availability in the departmental pool and other needs across the department.
Procedure
